Microsoft Teams

Teams governance, external access design, meeting and voice configuration, and lifecycle management.

Teams is trivial to turn on and difficult to run well. Left ungoverned it produces hundreds of abandoned teams, each with a SharePoint site, a mailbox, and a permission set nobody is reviewing.

We design the governance model, the external collaboration boundary, and — where it applies — the voice platform, so Teams stays useful as it scales.

Outcomes

  • A team lifecycle with named owners and expiry
  • External and guest access that is deliberate rather than default
  • Meeting, recording, and retention policies aligned to obligations
  • Voice configured and tested before anyone depends on it

Capabilities

How we approach it

01

Governance and lifecycle

Creation policy, naming convention, ownership requirements, and expiration review. Every team creates a SharePoint site and a group behind it, so ungoverned team creation is ungoverned content sprawl.

02

External collaboration

Guest access, federation, and shared channels configured against a defined boundary — so working with clients and partners is straightforward without leaving the door open indefinitely.

03

Meetings and compliance

Recording, transcription, retention, and lobby policies configured to match your regulatory position rather than left at defaults that may not suit it.

04

Teams Phone

Calling plans, direct routing, auto attendants, and call queues designed, configured, and tested. Voice is the workload where users notice every defect immediately, so it gets a pilot before a cutover.

Deliverables

What you receive

Written, handed over, and yours permanently — whether or not the engagement continues.

  1. 01Governance policy covering creation, naming, ownership, and expiry
  2. 02External access design with a documented boundary
  3. 03Meeting and retention policy configuration
  4. 04Voice design with numbering plan and call flow diagrams

FAQ

Common questions

Should everyone be able to create a team?

In small organizations, often yes with an ownership requirement. Above roughly a hundred users, unrestricted creation reliably produces sprawl. A lightweight request process with automatic provisioning is usually the right middle ground.

Can Teams replace our phone system?

For many organizations, yes — and often at lower total cost once the existing contract is accounted for. Whether it fits depends on your call volumes, contact centre needs, and any regulatory recording obligations.

How do we handle abandoned teams?

Expiration policies with owner attestation. The team is archived unless an owner confirms it is still needed, which puts the decision with the person who actually knows.
